This Privacy Policy describes how TraffiSense (referred to as “we,” “us,” or “our”) collects, uses, and protects personal information when you use our website and cloud services (the “Services”). By using the Services, you acknowledge that you have read this policy.

1. Data controller

Processing is performed for the organization registered as a tenant (typically a municipality or agency). For privacy questions relating to your data within that organization, contact the administrator designated by your authority.

2. Information we may collect

May include: account data (name, email, tenant identifier, and roles within the organization); operational data related to projects (names, descriptions, map geometries, analysis outputs, signs, signals, and technical identifiers); and technical data (IP addresses, summarized security logs, browser type, request timestamps) as needed to operate security controls and prevent abuse.

3. Purposes of processing

• Providing the Services to your organization, including studios, projects, and reporting features.
• Authentication, role enforcement (e.g. admin vs engineer), and tenant isolation between customers.
• Performance improvement, fault diagnosis, and security compliance monitoring.
• Legal compliance and response to lawful requests from authorities, where required.

4. Legal bases

Where applicable law requires a basis, we rely on: performance of a contract (the Services), legitimate interests in network and service security, and, where necessary, your consent (for example, optional marketing communications, if any, where you have not opted out).

5. Retention

We retain data for as long as your organization’s relationship with the Service continues and as needed to operate the platform, including backups and archive cycles. When a project or account is deleted in accordance with your permissions and our procedures, we apply steps to delete or de-identify data to the extent technically feasible.

6. Sharing and international transfers

We do not sell your personal data. We may use infrastructure providers and, when enabled, payment interfaces (e.g. Stripe, PayPal) under appropriate agreements. If data is transferred across borders, we apply reasonable safeguards required by applicable law.

Payment data and processors

Payment providers receive the data required to authorise and settle transactions (such as card type, last digits, amount, and risk signals). We do not use card data for unrelated marketing.

Providers may operate in other countries under their own agreements and certifications; we select partners that meet common industry security expectations.

You may request access, correction, or deletion of personal data subject to legal retention and accounting obligations, as described in the sections above.

7. Security

We implement reasonable technical and organizational measures, including authenticated sessions, password hashing, CSRF protection for web forms, and tenant-scoped data design. No system is perfectly secure; your organization is responsible for credentials and user access practices.

8. Your rights

Depending on your jurisdiction, you may have rights of access, rectification, erasure, restriction, objection, or portability. Requests related to your organization’s tenant data in TraffiSense should be routed through your authority’s admin or as provided in your agreement.

9. Changes to this policy

We may update this Privacy Policy. The current version is shown in this modal with a “last updated” date. Continued use of the Services after material changes, where your tenant relationship and contract so provide, constitutes acknowledgment of the updated terms.

These Terms of Service govern access by your organization (e.g. a municipality) and its users (collectively, the “Customer”) to the TraffiSense platform. By using the Services, the Customer agrees to these terms.

1. The Services

TraffiSense provides a cloud platform that may include (depending on your subscription) project and tenant management, mapping studios, geo analysis, and asset and reporting features. Functionality may evolve with product updates and plan limits.

2. Accounts and roles

The Customer is responsible for provisioning user accounts, accuracy of registration data, and credential security. The Customer is liable for actions taken by authorized users in their assigned roles (e.g. admin, engineer).

3. Acceptable use

• No unlawful use, no infringement of third-party rights, and no activity that endangers the Service or other tenants’ data.
• No attempt to bypass authorization, no unauthorized security testing, and no distribution of malware.
• The Customer remains responsible for the accuracy and legality of data entered (e.g. study areas and technical outputs) within its remit.

4. Intellectual property

The software, documentation, and UI remain protected as between TraffiSense and the Customer. The Customer retains ownership of its operational data, granting TraffiSense a non-exclusive, worldwide, royalty-free right to host, process, and operate that data to deliver the Services.

5. Availability and disclaimers

The Services are provided “as is” and “as available” to the maximum extent permitted by law. We do not warrant uninterrupted or error-free operation. Maintenance windows may be announced where practicable.

6. Plans and payment

Usage-based or subscription fees (e.g. per asset) are as stated on the welcome page or in a written order form. Card or wallet payments, when enabled, are processed through third-party payment providers. Taxes and government charges are the Customer’s responsibility where applicable.

Card and digital wallet payments

When card or supported wallet payments are enabled, charges are processed by independent payment service providers (for example Stripe). Civanox does not store your full card number on our servers.

Refunds, chargebacks, and payment disputes follow the rules of the relevant provider and applicable law, alongside any written agreement between your organization and Civanox.

You are responsible for accurate billing information and for any taxes, fees, or currency differences shown on invoices or payment receipts.

E-commerce and consumer information

Where electronic commerce rules apply, we provide clear pricing, contract terms, and contact channels before payment, and we honour statutory cooling-off or cancellation rights where required.

Invoices and receipts are issued electronically unless otherwise agreed. Records of successful payment are retained in line with our Privacy Policy and operational needs.

7. Limitation of liability

To the maximum extent permitted by law, TraffiSense is not liable for indirect or consequential damages. Total liability for claims relating to the Services is limited—where the law allows—to fees paid by the Customer in the twelve (12) months preceding the event giving rise to the claim, if any.

8. Termination and suspension

The Customer may stop using the Service subject to the agreement in place. We may suspend or terminate for material breach and failure to cure within a reasonable period. Data handling on exit is governed by the Privacy Policy and the Customer’s agreement.

9. Governing law

Governing law and venue are as set out in the agreement between TraffiSense and the Customer. Where no bespoke agreement exists, the terms default to the law and forum specified in the order or master agreement. Disputes should first be addressed cooperatively.

10. Changes

We may update these Terms. The version in this modal reflects the “last updated” date. Continued use after a material change may constitute acceptance as permitted by contract. Enterprise tenants should also refer to their executed agreement.

This Cookie Policy explains how TraffiSense uses storage technologies on your device when you visit our site or use the web interface of the Services.

Small text files placed by your browser. They may be session cookies (cleared when you close the browser) or persistent cookies (kept for a defined period) depending on our configuration.

2. Types we use

• Strictly necessary / functional: to maintain your session, remember locale preferences, and support security controls (including aligning with server-side session and CSRF tokens).
• Preferences: e.g. layout or theme choices where such features are enabled.
• Performance and analytics: if enabled, limited telemetry to understand stability and product usage. We do not sell this information.

3. Third parties

When you use integrated payment partners (e.g. Stripe, PayPal), they may set their own cookies under their policies. Please review the provider you choose at checkout time.

4. How to control cookies

Browser settings allow you to block or delete cookies. Blocking all cookies, including necessary ones, may break sign-in and form submission. “Do not track” signals are handled inconsistently by browsers; we do not respond to all such signals in a uniform way across regions.

5. Retention

Cookie lifetimes vary by purpose. Session cookies are tied to server session lifetime. Analytics tools, if any, may apply their own retention policies.

We may update this policy and will adjust the “last updated” date. Continued use of the site after a material change, where the law and your relationship with us allow, may constitute reasonable acceptance; specific jurisdictions may require explicit consent for non-essential categories.
